How to Hire a Band for a Corporate Event (2026 Guide)

Hiring a live band for a corporate event is a different brief from a wedding. The audience is rarely there just for the music, the logistics are tighter and the act needs to flex across multiple programme slots without missing a beat. Getting it right means choosing a band that can read a corporate crowd, work with your AV team and deliver cleanly from the drinks reception through to the final set.

This guide draws on real bookings. The detail below comes from events we have worked on across awards ceremonies, gala dinners and corporate networking events, covering everything from setlist decisions made days before the event to load-in logistics at some of London's more challenging venues. When it works, the results speak for themselves.


What type of band do you need?

The right act depends almost entirely on your event format.

Roaming bands are the most popular choice for registration, networking and drinks receptions. They perform without a fixed stage, moving among guests and creating atmosphere without stopping conversation. A DJ, sax and percussion trio at a UK fintech awards ceremony (300 guests, central London) came to £2,850 inc VAT. This covered an acoustic drinks reception set in a separate foyer, dinner DJ service and 25 award stings coordinated with the in-house AV team.

A 10-piece showband for an industry awards gala booked at £9,000 plus VAT, negotiated down from a standard rate of £14,000 for the full 16-piece lineup. The client scaled the lineup to meet their budget while keeping the core show: male and female singers, drums, keys, bass, guitar, violin and two dancers.

A 3-piece band for a corporate networking event at a Surrey venue came to £1,745 including travel, equipment and a software DJ service covering the full evening from guest arrival through to the end of the live sets.

As a rough guide across the range:

  • Roaming bands: from £1,500 for a duo, £2,500 and above for a full group
  • Four to five piece function bands: £2,500 to £5,000
  • Large showbands with brass and choreography: £5,000 upwards
  • Premium acts with touring credentials: £5,000 to £10,000 plus

For destination events, add flights, accommodation and transfers on top. A recent booking at Stirling Castle involved return flights from London of around £500, hotel costs of £170 to £200 and transfers of £200 to £300. These are usually quoted separately and handled by the band directly.

What to ask before you book

Do they have experience with corporate events specifically?

A band that is excellent at weddings is not automatically the right fit for an awards ceremony. The two formats make very different demands on the musicians.

"Bands that perform regularly at weddings are not always the right fit for a corporate event," says Ed Southall, founder of FixTheMusic. "For something like an awards ceremony with 20 or 30 stings, a drinks reception in a separate room and a full party set afterwards, you need musicians who have done this before and know exactly what it involves. The best corporate acts treat the brief like a production. They are reading the running order, coordinating with your AV team and thinking about how the room feels at each stage of the evening, not just when they are on stage."

Ask specifically whether the band has performed at awards events and how many stings they have handled in a single evening.

Have you told them your real brief?

One of the most useful things you can do when making an enquiry is describe the event honestly, including the parts that don't appear in the official brief. Corporate events are often internally framed one way when the real goal is something quite different. One event manager told us recently: "We've kind of lost the fun element of things, so that's what we're trying to do at the minute. We've had to brand this as a networking event because of course it's a networking event." The band they booked understood immediately and calibrated their approach accordingly -- starting with relaxed background music and building to a full party set later in the evening.

The band can do this kind of thing much more effectively when they understand the real brief. Share what you know about your audience too. Age range, industry, company culture -- anything that gives them a picture of the room they are walking into.

Bands will often propose a safe all-ages set as a starting point, and a quick conversation about audience demographics can change it significantly. At a recent awards event, the event manager pushed back on the initial proposal, writing: "Just a bit concerned that some of these might be a bit young for the audience -- predominantly this audience is middle age, white and male." The band responded by swapping the contemporary tracks for recognisable classics and the set landed far better for it.

Also flag any artist restrictions upfront. Some corporate events have policies around specific artists due to brand guidelines or current news stories, and it is much easier to handle before the setlist is built than the week before the event.

Have you clarified what the stings actually involve?

A sting is a short musical snippet, not a full song. This sounds obvious but it is a surprisingly common point of confusion, and worth confirming explicitly. If your ceremony has 20 or more categories, tell the band the exact number when you first make contact. It affects how they structure their prep and in some cases their quote. Providing the walk-up cues listed separately in sequence, rather than embedded in a full running order script, makes it significantly easier for the band to follow accurately on the night.

Do you know what is included in the band fee?

Most professional function bands include a background music service between and after their live sets as standard. This is often more than a simple playlist -- many acts use mixing software that keeps the atmosphere consistent with the live sets. It is worth confirming this at the enquiry stage, partly because a lot of corporate planners assume it is a separate add-on and budget accordingly. In most cases it is not.

Can they provide a tech rider and stage plot?

A professional act will have these ready. Share them with your venue as early as possible. Confirm lift dimensions, load-in windows and parking before the band commits to the booking.

What documentation does procurement need?

Can they work under NDA?

On the day

Setup time is not the same as sound check time

This is the most common misunderstanding we encounter, particularly with event managers who have not worked with a live band before. A professional PA system typically takes two to three hours to install before sound check can begin. Sound check adds another 30 to 60 minutes at full volume. One hour between the end of a previous event and guest arrival is rarely enough, even with an experienced and efficient band.

The most complicated load-ins we deal with are upper-floor venues in central London where the band and production crew are working with a shared goods lift alongside other building users. At one recent central London event, the solution required confirming exclusive goods lift access from 3pm, obtaining precise lift dimensions in writing before the booking was confirmed and agreeing a hard sound check completion time before guests arrived. The band also needed the number of crew confirmed in advance, since tight load-ins at upper-floor venues often require two crew rather than one.

Split-venue events -- where background music plays in one area earlier in the evening and the live set happens in a separate space later -- add another layer of planning. The band needs to think carefully about speaker placement from the start to avoid moving heavy equipment mid-event, which creates gaps and disrupts the atmosphere. Raise this early so the band can plan accordingly.

The practical checklist:

  • Confirm load-in start time and whether the lift is shared with other building users
  • Provide lift dimensions in writing before the booking is confirmed
  • Check whether the loading bay requires advance registration of vehicle and driver details
  • Agree a sound check completion time and treat it as a hard deadline
  • Check whether the venue has a sound limiter and at what decibel level it activates
  • Flag any split-venue requirements so the band can plan speaker placement from the outset

Between sets

Most bands include a background music service as part of their fee, running before, between and after their live sets. You can supply a playlist of requested tracks for the earlier part of the evening, which works particularly well for networking periods where guests want familiar music rather than the band's standard setlist. Confirm this is included when you enquire rather than assuming it is an add-on.

If the agenda overruns

Most bands can shift set times within reason on the day. Agree an overtime rate before the event in case you need it. Any extension beyond the contracted performance time should be confirmed before the band continues.
